This Privacy Notice explains how Fleet Oil Limited (“Fleet Oil”, “we”) collects and uses personal information relating to learners and customers who use Fleet Oil Academy. It should be read alongside our Terms of Purchase and Course Use.

1. Information we collect

To operate Fleet Oil Academy and provide training, we may collect:

• your name and email address;
• your employer or company, where provided;
• Academy account and login information;
• course purchases and enrolments;
• course progress, assessment answers and results;
• certificate records, including certificate numbers and verification information;
• records of the Terms and purchase consent accepted by you;
• payment and transaction information;
• support enquiries and correspondence; and
• limited technical information such as the device and browser used to access the Academy.

Payments are processed by Stripe. Fleet Oil does not normally receive or store your full payment-card details.

If an employer or another organisation purchases training for you, we may receive basic information about you from that organisation in order to create or administer your enrolment.

Fleet Oil Academy does not normally collect health, medical or other special-category personal information as part of the learner registration, course or assessment process.

2. How we use your information

We use personal information to:

• create and administer Academy accounts and course enrolments;
• process purchases and issue confirmations;
• provide course content and assessments;
• record course progress and results;
• issue, store and verify certificates;
• maintain training and renewal records;
• provide technical and customer support;
• send necessary communications relating to your account, course or certificate;
• maintain records of the contractual Terms and consents accepted;
• prevent account misuse, fraud and assessment misconduct; and
• operate, secure and improve Fleet Oil Academy.

3. Our legal bases

We process personal information where necessary:

To perform a contract – for example, to provide an Academy account or course you have requested or purchased.

To comply with legal obligations – including relevant accounting, taxation and record-keeping requirements.

For our legitimate interests – including operating and securing the Academy, preventing misuse, providing support, maintaining appropriate course and certificate records and improving our service, where those interests are not overridden by your rights.

Where we rely on consent for a particular activity, you may withdraw that consent at any time.

Providing basic account, enrolment and payment information is necessary for us to supply a paid Course. If you do not provide the information needed to create the account or process the enrolment, we may be unable to provide the Course.

4. Assessments and certificates

Course assessments may be marked automatically by comparing your answers with predetermined answers.

Questions may be selected or randomised from a question bank.

Your assessment result may determine whether the Course is recorded as completed and whether a certificate is issued.

If you believe an assessment result is incorrect because of a technical or administrative problem, please contact us and we can review it.

Course and certificate records may remain associated with your account after a certificate expires so that your training history can be maintained and certificates can be accessed or verified.

5. Who we share information with

We only share personal information where reasonably necessary to operate Fleet Oil Academy or where required by law.

This may include:

• Stripe, for payment processing;
• technology, hosting, email and cloud-service providers used to operate the Academy;
• professional advisers such as accountants, insurers and legal advisers;
• public authorities where disclosure is legally required; and
• where an employer or organisation has purchased training for you, that organisation where appropriate for confirming enrolment, completion or certification.

We do not sell personal information.

6. International processing

Some technology providers may process personal information outside the United Kingdom.

Where this occurs, Fleet Oil will use or require appropriate safeguards in accordance with UK data-protection law, such as applicable UK adequacy regulations or approved contractual safeguards.

You may contact us if you would like further information about safeguards relating to a particular provider.

7. How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected.

Account, course, assessment, completion and certificate information may be retained for as long as reasonably necessary to maintain an accurate training and certificate history and allow certificates to be accessed or verified.

Records of purchases, accepted Terms and purchase consents may be retained for as long as reasonably necessary for accounting, contractual and legal purposes.

Financial and accounting records are retained for the periods required by applicable UK law.

Information that is no longer required will be deleted, anonymised or securely archived as appropriate.

8. Your rights

Depending on the circumstances, you may have rights including:

• access to personal information we hold about you;
• correction of inaccurate information;
• deletion of information in certain circumstances;
• restriction of processing in certain circumstances;
• objection to certain processing;
• data portability where applicable; and
• withdrawal of consent where processing is based on consent.

These rights are not absolute and the rights available depend on the circumstances and our lawful basis for using the information.

10. Changes to this Notice

We may update this Privacy Notice where Fleet Oil Academy, the technology we use or our legal obligations change.

The current version and effective date will be shown on this page. Where required, we will bring material changes affecting existing personal information to the attention of affected users.
